Committee reports
a. Museum Creation
The asset transfer of Burnby Hall was to go before East Riding of Yorkshire Council Cabinet in April. Pocklington Town Council (PTC)were continuing work drafting tenders and setting up a management organisation. PTC are also in discussion with the gardens trust about how the two organisations will work alongside each other.
The Shared Prosperity Fund (SPF) grant had been awarded for the outreach projectThe preferred consultant and replica maker had confirmed they were still available.
It was agreed the replica should show the shield as it would have been when first made.
There was a discussion about producing merchandise to sell to raise funds. Copyright issues would need to be considered.
b. Collection Management and Research
Meetings with metal detectorists had continued. Metal detectorists were reporting having problems reporting finds to the Portable Antiquities Scheme. All appointments for this area were booked for 2024.
An important Anglo Saxon artefact found at Pocklington had recently been sold. Artefacts will need to be chosen to be displayed or copied for the SPF project.
The question of insurance was discussed
c. Finance and Fund-raising
The Treasurer reported on the current financial position and the plans for managing the cashflow for the coming year.
Whilst fund-raising for this project was needed it was important not to use up goodwill or approach major sponsors who will be needed for the museum.
If Burnby Hall is transferred to PTC there will be major fund raising for the Hall in general.
It is important that a strategy for grants and sponsorship applications is agreed with PTC.
A financial manual had been circulated. A number of changes were suggested such as the inclusion of internet banking.
d. Education, Events and Public Engagement
The Heritage Festival was to be part of the SPF project.
The Community Room at Burnby Hall had been booked for the Heritage Festival from Thursday 14 to Saturday 16 November with access on Wednesday 13 November to set up.
A number of speakers had been confirmed.
A group of story tellers had been recommended for the Beanfeast.
A menu had been suggested for the caterers.
PDHT were to have a presence at a talk at Londesborough.
The organisation PLACE (People Landscape and Cultural Environment) was to visit Pocklington. PDHT are to show the videos used at the Beanfeast and to give a short talk to them.
A place at the Heritage Summit in Hull had been booked.
e. Facility and Volunteer Administration, Governance and Audit
Appointing a volunteer co-ordinator and recruitment of volunteers was postponed.
f. Marketing and Communications
A draft of the Chariots fund raising booklet was discussed.
The SPF team had been asked if they were publicising the grants in this area. Publicity was down to PDHT. It was felt important to co-ordinate publicity with other groups in the area who had received grants.
