Summary of a meeting of the Trustees held on 6th September 2024
Committee reports
Museum Creation
Pocklington Town Council (PTC) were in negotiation with East Riding of Yorkshire Council (ERYC) regarding the lease. It is expected to take several months to finalise.
There will only be 8 parking spaces available with the hall.
The Burnby Lane collection was to be moved to the Treasure House and there were plans to exhibit some of the collection in Beverley. Trustees felt strongly that it should be exhibited in Pocklington first.
Shared Prosperity Fund grant
The replica shield is coming along well. A video has been made about the difficulties encountered whilst making it. The video will not be used at the Heritage Festival but saved for a later event to launch the museum fund-raising campaign.
The portable museum display boxes should be available for the Heritage Festival. There was an issue regarding the cost of the touch-screen. Trustees were very clear that it needs to be possible to update it.
Collection Management and Research
A Copy of the Pocklington entry in the Domesday Book, handwritten in 1637 had been donated.
Accreditation
A Manual of documents and procedures has been produced . Trustees were to review it. A mentor for the accreditation process was needed. ERYC Museums Service had not be able to offer one. Museum Development North, was to be asked to suggest someone.
Finance and Fund-raising
The Treasurer circulated copies of the accounts to date
Fund-raising
A timescale for fund raising was being put together for fund-raising. Three fund-raising strands had been identified.
Grants -It will be necessary to employ a consultant to identify and make applications for large grants. It was suggested that the person fund-raising for the charity set up to manage Burnby Hall might be suitable. Although grants could not be applied for until PDHT had a lease from PTC a consultant could be identified.
Major Donors -It would not be possible to approach major donors until there was a clear plan for the museum. However, in the meantime a list of people, who might be approached, could be put together.
Community -donations and fund-raising events were possible now. It was important to identify which events were for fund-raising and/or recruiting volunteers.
Education, Events and Public Engagement
On 22nd September a walk was to be lead to Givendale and Millington as part of the East Riding Walking Festival. This would finish at Millington Village Hall, where an exhibition would be put up .
