Summary of a meeting of the Trustees held on 24th February 2025

Committee reports

a. Museum Creation

Pocklington Town Council (PTC) are still having problems with the wording of the lease from East Riding of Yorkshire Council (ERYC). It was noted that it was over a year now since the ERYC Cabinet voted to transfer the property.

There had been discussions with PTC regarding a joint lottery bid. 

It was agreed that the possibility of using a facilitator to bring together the ideas and aspirations of PDHT, PTC and the Pocklington Community Trust should be explored.

Shared Prosperity Fund grant

The targets had all been met for the Shared Prosperity Funding. The end of fund reporting and evidence of each activity were being worked on.

All of the payments had now been received. SPF had contributed £40,000 and PDHT had contributed £10,000.

b.  Collection Management and Research

Work is continuing on the collections policy.

Having premises is essential for Museum Accreditation. There is a status of “working towards accreditation”. Once this is started full accreditation must be achieved within 3 years. The travelling museum is classed as a collection and can be used as an example to show that all the paperwork is in place.

The archives for the Burnby Lane and Mile excavations are still with Malton Archaeological Practice. The plan is for them to go to ERYC until they can be accommodated at Pocklington.

c. Finance and Fund-raising

Current accounts were circulated.

Wolds Heritage Trust had promised a donation of £10,000 for when work starts on the museum.

Other donations had been promised.

The Pocklington Horticultural Society had made a donation of £500.

Residential homes were giving £100 for each talk provided.

 A good list of contacts had been established by the funding group and the shield pre-event had generated interest.

It was hoped that another event could be held in the autumn perhaps using the Anglo-Saxon panel as a focus.

d. Education, Events and Public Engagement

A sub-committee was to be set up to plan the November Heritage Festival.

Talks to residential homes and schools continue.

PDHT will attend an event at Brough in July and Fangfest in September.

e. Facility and Volunteer Administration, Governance and Audit

The Trust was now registered with the Information Commissioner at a cost of £52 for the year.

f. Marketing and Communications

The website is being reviewed. It was proposed to transfer to a more user-friendly platform in November when the subscription is due for renewal.

A quarterly newsletter is being produced.
